Sequence of Events, Deadlines, and Forms

 

 

FIRST YEAR:

  • Required courses, interdisciplinary colloquium and seminar

  • Laboratory rotation(s)

  • Select Dissertation Advisor (notify Coordinator via email)

SECOND YEAR:

  • Required courses, interdisciplinary colloquium and seminar, possible elective courses (determined by student's Dissertation Committee)

  • Establish Dissertation Committee (by end of 3rd semester)

  • Meet with Dissertation Committee (by end of year)

  • Program of Study approved by Dissertation Committee (must be done prior to taking Candidacy Exam)

  • Candidacy/qualifying examination (grant proposal preparation and defense)

  • Advancement to candidacy (this form [Form #5] can be completed anytime up to the beginning of the last semester)

Forms to be completed by end of second year:

 

1) Appointment of Doctoral Committee

2) Program of Study / Curriculum Contract form (complete and give to Program Coordinator)

3) Qualifying Exam

 

THIRD YEAR:

  • Choose and have Dissertation Committee approve dissertation topic (by end of 5th semester)

  • Dissertation research

  • Possible elective courses

  • Interdisciplinary colloquium and seminar

  • Meet with Dissertation Committee (at least once per year)

  • Give a 20 min presentation on his/her research at the departmental weekly seminar

Forms to be completed by end of third year:

 

4) Petition for Topic Approval

 

FOURTH/FIFTH YEAR:

  • Dissertation research

  • Possible elective courses

  • Interdisciplinary colloquium and seminar

  • Dissertation Oral Presentation and Defense

NOTE: The actual sequences and timing will vary some among students, especially those who enter the program with graduate transfer credits

 

Forms to be completed before graduation:

5) Application for Admission to Candidacy.

This form is due by the 8th instructional day of the semester in which you will graduate.

 

NOTES:   i) this form will be valid for one semester only. If you need to change your graduation date, you will need to submit a new form.

               ii) Your Dissertation Committee members do NOT need to sign this form

 

6) Application for Degree

This form is due by the 8th instructional day of the semester in which you will graduate; it must be completed on-line, as follows:

 

To access the “On-Line Graduation Application.”

  1. Log-on to Banner Self Service Account

  2. Click on “Student Services/Financial Aid/Student Accounts”  option

  3. Click on “Student Records” option

  4. Click on “Online Graduation Application” option

NOTES:  

 

i) if you change your graduation date, you will need to submit a new form, and repay the application fee.

ii) students still need to provide the Graduate School with paper copies of “Application for Candidacy for a Degree Program”. These forms will continue to be available from the “Graduate School Forms” page of the Graduate School Website. 

 

7) Successful completion of Dissertation Defense (submit signed Dissertation Defense Report for Doctoral Candidates and Dissertation to the Graduate School)

 

8) Change of grade

For some individualized instruction courses, such as BIOL8999, an “IP” grade is received up until the semester in which a student graduates. At the end of the semester in which a student graduates, those grades need to be changed.

 

On the special request form, enter the course for which an "IP" grade has been received. One form should be used for each course - if enrolled in a given course in more than one semester, add each semester/section number to the form. Once completed, the form should be given to the Graduate School office.

  • Transfer of credits   (this form is to be used if six or fewer hours are requested for transfer credit; if more than six hours is requested, instead of using this form write a formal letter identifying which hours of credit  and from which university is requested be transferred, and whether the advisor and Dissertation Committee has approved the request. Send this letter along with a copy of your transcripts (front and back) to Dr. Schrum. See Dr. Schrum if a request for replacement of a required course is desired).

Deadline to submit Application for Degree and Application for Candidacy for:

       - May 2009:                                      January 22, 2009

       - Summer I 2009:                               May 27, 2009

       - Summer II 2009:                              July 7, 2009

 

 

Deadline for submission of Doctoral dissertation to the Graduate School for: 

       - May 2009:                                      March 20, 2009

       - Summer I 2009:                               June 29, 2009

       - Summer II 2009:                              August 7, 2009

 

Dissertation Defense

Choosing a Dissertation defense date should be made in consultation with the Dissertation Committee. The final version of the Dissertation should be given to each Committee member and the PhD Coordinator at least four weeks prior to the public defense. If all Committee members and the program coordinator agree to accept a copy with less time, the final version may be submitted up to at least two weeks prior to the public defense.

 

Time Management of Dissertation Defenses: Dissertation defenses should be scheduled with appropriate consideration of the amount of time needed for the candidate to make his/her presentation and provide ample opportunity for all participants in the defense to ask relevant questions. Ensure a block of time for the defense when all committee members can devote 2-3 hours of time without interruption. The dissertation defense is considered the final examination on the way to receiving a doctoral degree. It is important that the defense provide all involved an ample opportunity to judge the candidate’s knowledge on the topic of the dissertation.

 

Dissertation Formatting Review: All doctoral dissertations must meet the Graduate School formatting requirements identified in the “Manual of Basic Requirements for Theses and Dissertations” which is available on the “Forms” page of the Graduate School Website (http://graduateschool.uncc.edu/graduation/manual.html). Candidates should carefully review this document before they prepare to submit their dissertation to the Graduate School.

 

The Graduate School also recommends that all doctoral students make an appointment to meet with a dissertation reviewer prior to the final defense so that any formatting problems can be resolved. Since a doctoral student is expected to provide his/her dissertation committee with a copy of the dissertation 3 weeks prior to the actual defense, the time between the notification of the defense and the actual defense represents an ideal time for students to make an appointment for the pre-defense review of their document. If this review is completed prior to the defense, the student will be in a position to make both content and formatting corrections to the document once the defense has been completed. Most doctoral students are now submitting their dissertations in electronic format. Before a student can submit the electronic version of the dissertation, the student must attend an Electronic Dissertation (ETD) Workshop. Please be aware of the need to attend this Workshop. This Workshop is offered through the Graduate Institute Workshops program. Students can go to “Grad Life – Professional Development” section of the Graduate School Website (URL: http://graduateschool.uncc.edu/grad-life/professional-development-.html ), view the “Upcoming Workshops” and register for this Workshop.
